Jong KNCV is a division of the KNCV, the Royal Dutch Chemical Society. The KNCV attaches great importance to the protection of your personal data.

In this privacy statement, we explain how we handle your personal data, why we collect this data and what we do with it. We believe it is important that your data is handled with care and ensure that the personal information you provide to us is treated confidentially.

The KNCV complies in all cases with the applicable laws and regulations, including the General Data Protection Regulation. This means that, in any event, we:

Process your personal data in accordance with the purpose for which it was provided. These purposes and the types of personal data are described in this privacy statement;
Limit the processing of your personal data to only those data that are strictly necessary for the purposes for which they are processed;
Have taken appropriate technical and organisational measures to ensure the security of your personal data;
Do not pass on personal data to other parties, unless this is necessary for the fulfilment of the purposes for which they were provided;
We are aware of your rights regarding your personal data, wish to draw your attention to them and respect them.

Processing of personal data of KNCV members.

The KNCV processes members’ personal data for the following purpose(s):

Administrative purposes;
Communication regarding your KNCV membership;
Sending out our newsletter and the C2W magazine.

The legal basis for processing this personal data is:

Membership of the KNCV and/or its sections.

For the above purpose(s), the KNCV may request the following personal data from you:

Title;
First name;
Surname;
(Business) Telephone number;
(Business) Email address;
Gender;
Address and town/city;
Date of birth (for the purpose of determining membership fees);
Employed by organisation;
Bank account number (for direct debit of membership fees).

Your personal data will be stored by the KNCV for the purposes of the above-mentioned processing(s) for the following period:

For the duration of your membership of the KNCV and/or its sections, and thereafter solely in the financial records for a maximum of 10 years.

Communication

When you send us emails or other messages, these are recorded in our systems and stored in accordance with the statutory retention obligation. We may occasionally ask you for personal data relevant to the situation in question. This enables us to process your enquiries and respond to your requests.

Newsletter

Users can subscribe to the KNCV Newsletter, through which we keep interested parties informed about relevant developments. Your email address will be added to the list of subscribers with your explicit consent. Every newsletter contains a link allowing you to unsubscribe. The newsletter subscriber list is not disclosed to third parties.

Cookies

Cookies are small pieces of information stored on your computer by your browser. This website uses functional cookies that are necessary for the website to work properly. In addition, we use cookies, for example, to analyse website usage and improve user-friendliness.

Events and meetings

Photographs and/or video recordings may be taken during events and meetings organised by the KNCV. These photographs or videos may be published on kncv.nl, other KNCV websites or social media. By attending an event, you consent to photographs or videos being taken and to these being published on the website and social media.

Social media and links to other websites

The website features buttons enabling you to follow the KNCV on social media. These buttons are implemented using code provided by the various social media companies themselves. This code may, amongst other things, set a cookie (see above). We have no control over this and refer you to the privacy policies of the relevant social media organisations to find out how they handle your (personal) data processed via these cookies.

The website may also contain links to third-party websites. Although these websites have been selected with care, the KNCV accepts no responsibility for these third parties or the way in which they handle (personal) data.

Disclosure to third parties

We may disclose the data you provide to us to third parties if this is necessary for the purposes described above.

For example, we use a third party for:

Hosting the membership records;
Hosting the KNCV’s website.

We have, of course, entered into the necessary agreements with this party (the data processor) to guarantee the security of your personal data by means of a data processing agreement. Furthermore, we will not disclose the data you have provided to any other parties. We never pass on personal data to other parties with whom we have not concluded a data processing agreement.

Retention period

The KNCV does not retain personal data for longer than is necessary for the purpose for which it was provided or as required by law.

Security

We have implemented appropriate technical and organisational measures to protect your personal data against unauthorised processing. For example, we have taken the following measures:

All persons who may access your data on behalf of the KNCV are bound by a duty of confidentiality;
We operate a username and password policy on all our systems;
We make backups of personal data so that it can be restored in the event of physical or technical incidents;
We regularly test and evaluate our measures;
Our staff have been informed of the importance of protecting personal data.

Rights regarding your data

You have the right to access, rectify or erase the personal data we have received from you. You may also object to the processing of your personal data (or part thereof) by us or by one of our data processors.

Complaints

If you have a complaint about the processing of your personal data, please contact us directly. We would, of course, be very sorry if we were unable to resolve the matter with you. You always have the right to lodge a complaint with the Dutch Data Protection Authority, which is the supervisory authority responsible for data protection.
